When time spent on product matching turns into losses instead of revenue

Imagine this situation: you want to buy a batch of 500 Philips light bulbs with a rated power of 60

W for an E27 base, but the seller has no such bulbs in stock.

The seller offers to find an equivalent product, but drags it out for three days or even a full week.

What would you do

It seems that light bulbs are not such a rare product that you would cling to the only available seller and wait obediently for weeks for their verdict.

It is easier to turn to another supplier who has the needed item in stock, or at least can quickly find a replacement. The cost of Seller No. 1's sluggishness is lower company revenue, damage to its reputation among customers, and weaker product turnover.

What should seller No. 1 do

It seems that well-trained consultants can save the day, and for a while that works.

But inflating the number of consultants and the resources spent on training them will become a budget drain once the number of branches or item types crosses the point of no return.

Find among two million items

  1. RAEC, a major association of electrical equipment distributors, came to KT.Team with a similar problem. The client's portfolio includes about 30 suppliers and 2 million product names that are constantly updated and expanded.

  2. No sales manager can remember all 2 million components accurately.

  3. If for some reason the needed item was not in stock in the required configuration or quantity, even the most skilled and sharp-minded manager had to spend long hours finding alternatives.

  4. They had to remember not only every possible alternative, but also check its price, availability in the company's warehouses, and turnover for that specific item.

  5. Fine, light bulbs are indeed a fairly simple product.

  6. But if the customer needed a residual current device with a fixed rated current and voltage, while the price and tripping current had an allowed range, the order had to be queued for the most qualified manager, who would not make mistakes in the technical details.

  7. Solving the task stretched over several days.

Problems with manual equivalent product matching

Slow service speed

While managers search for an equivalent product manually and clarify the details, the buyer may find another offer.

Uneven workload distribution among sales managers: it is much higher for more experienced managers, because only they can handle complex requests.

Difficulty controlling inventory turnover in the warehouse

Managers do not have information about the popularity and profitability of different component types, so some run out quickly while others sit in stock for too long.

The inability to update product availability data promptly. For example, a manager knows that three days ago one component was out of stock.

Most likely, he will not offer it to the customer if the delivery was made on the day of consultation. Reputational risks.

If an electrical component alternative takes too long to find, or the right one cannot be found, the customer loses trust.

Taking into account the specifics of the business of members of the CIS Association of Electrical Companies, we identified four key criteria for such software: search speed.

A manager should get a list of equivalents for an electrical component in a few seconds, regardless of experience or request complexity. Component attribute tracking.

The search must work by product technical specifications, price, brand, manufacturer, stock availability, delivery speed, and take into account contracts between distributors in the association.

Search for both full and partial equivalents

For example, two light bulbs with the same base and wattage are considered full equivalents, while if only the base matches, they are partial equivalents.

Simple deployment of updates to the system.

Alternatives must be calculated automatically: when a new item enters the system, full and partial alternatives are calculated for it.

At the same time, this new item is added to the relevant product cards as a full or partial alternative.

Information about component availability in warehouses must also update automatically.

Building a unified component database and launching the MVP in three months

  1. Different distributors in the association could record the same component differently in their systems, with different attributes and names.

  2. That is why an important step toward the MVP was standardizing the entire database of two million item names.

  3. The KT.Team team programmed the new structure in the Pimcore PIM system and connected it via API to the company's database and the distributors' systems.

  4. The next step is to create equivalence matching rules for each component subcategory together with the company's specialists.

  5. The entire search system was built around these rules: as soon as products appear in the distributor's database, they are automatically loaded into Pimcore via API.

  6. Next, the system automatically assigns components to categories and finds alternatives for them.

  7. Three months later, we launched the MVP of the system for the Lighting category. For the other 13 component categories, RAEC employees could now configure the search logic themselves without IT specialists: while working together on the first category, we developed a practical framework for formulating rules that can be easily reused for the remaining categories.

  8. The rules defined for the Lighting category and translated into the Pimcore directory became a model for other categories.

  9. We provided the client with instructions for creating reference data on their own. Pimcore is convenient to use thanks to its many low-code features, which do not require developer assistance to implement.

Results: equivalent search in 5 seconds, turnover tracking, and automatic database updates

  1. KT.Team, together with RAEC specialists, built an intelligent system for instant searching of equivalents for electrical components.

  2. Automating a critical business process made sales many times more efficient.

  3. The new system finds alternatives for electrical components in 5 seconds.

  4. Now the manager can advise customers in real time by phone, in messengers, or in person.

  5. Workload is now distributed evenly across managers, regardless of experience or detailed knowledge of the assortment.

  6. Tracking component turnover in warehouses and accounting for margin.

  7. Now the manager can offer the customer an equivalent component that has been in storage for a long time, for example because it was produced under a less popular brand.

  8. When selecting an equivalent product, the manager can now also take product margin into account.

  9. The components and alternatives database updates automatically without technical support.

  10. One of our client's requirements for the alternative-matching system was adaptability to change.

  11. It was important that if item names were added or removed, for example when a new supplier appeared or an old one was dropped, the system would update automatically.

  12. We accounted for this requirement, so any changes in a component's attributes are synchronized by the system in Pimcore, and database updates run every 8 hours.

Summary

  1. The new alternative-matching system enabled RAEC member companies to improve customer service efficiency and stock turnover, balance manager workloads, and avoid reputational costs and customer churn.

  2. Any manager, regardless of experience, can find an alternative for any item in 5 seconds instead of 3 days as before. The system MVP has been implemented for 1 of 13 categories.

  3. The client added the remaining categories on their own, using the instructions and without involving IT contractors.

  4. The development budget was reduced several times over.

  5. The equivalent search system synchronizes with the component database, and equivalents are recalculated automatically every 8 hours.

  6. Managers use up-to-date data to match products. The project was launched in 3 months.
